This notice explains how Geocko Intelligence Ltd uses personal information when you visit geocko.ai or send us a message through it. It is written to be read, so we have kept it short.
1. Who we are
We are Geocko Intelligence Ltd, a company registered in England and Wales, company number 17419911. Our registered office is Flat 5, 190 Fraser House, Cromwell Road, London SW5 0SL. We are registered with the Information Commissioner's Office (ICO), registration number ZC287826.
We are the "controller" of the personal information described in this notice. That means we decide how and why it is used.
You can contact us about anything in this notice at hello@geockointelligence.com.
2. What this notice covers
This notice covers this website only. It covers three things:
- messages you send us through the contact form (or by emailing hello@geockointelligence.com);
- your email address if you join the waiting list for Nuzu or Geocko;
- your email address if you ask to receive our newsletter, by ticking the separate box on the waiting list form or the contact form; and
- the technical records created when your device loads this website.
Our apps and services (Nuzu, Geocko and GI Studio) will have their own privacy information. We will not use your website enquiry to sign you up to anything. Joining a waiting list, or asking for our newsletter, is a separate choice that you make by ticking a box (see section 3).
3. What we collect, why, and our legal basis
| What | Why we use it | Our legal basis |
|---|---|---|
| Contact form: your name, email address, organisation (optional), the topic you pick (General, GI Studio, Nuzu, Geocko or Press) and your message | To read your message and reply to you. To deal with press, partnership or customer enquiries. | Legitimate interests. We need to read and answer messages that people choose to send us, and doing so is what you would expect. Where your enquiry is about buying our services, we also use it to take steps at your request before a contract. |
| Technical records created by our hosting provider when you load a page: your IP address, the date and time, the page requested, your browser and device type, and any error messages | To keep the website running, fix faults and protect it from misuse and attacks. | Legitimate interests. Running and securing our website. |
| A short-lived record of your IP address when you submit the form | To block spam and repeated automated submissions. We do not keep it beyond 24 hours. | Legitimate interests. Protecting the form from abuse. |
| Anything else you tell us in a message or follow-up email | To deal with your request. | As for the contact form. |
| Waiting list (Nuzu or Geocko): your email address, the product you chose, the date and time you joined, and a record that you ticked the consent box and the wording you saw next to it | To email you when that product launches, and for no other purpose. We also keep the record of your tick so we can show that you agreed. | Your consent (UK GDPR Article 6(1)(a)), which is also the consent the Privacy and Electronic Communications Regulations 2003 (PECR) require before we send you marketing email. You choose to give it by ticking the box. We keep the record of your tick as part of the same consent and because we are required to be able to show it. |
| Newsletter: your email address, which form you ticked the box on (waiting list or contact), the date and time, and a record that you ticked the newsletter box and the wording you saw next to it | To send you the Geocko Intelligence newsletter: news, product updates and occasional offers about Nuzu, Geocko, GI Studio and our company. | Your consent (UK GDPR Article 6(1)(a)), which is also the consent PECR require before we send you marketing email. You give it by ticking a separate box. The box is optional and is never ticked for you. Whether you tick it makes no difference to how we deal with your enquiry or waiting list sign-up. We keep the record of your tick to show that you agreed. |
| A short note that you have unsubscribed or asked us to stop (your email address only) | So that we do not email you again by mistake. | Legitimate interests. Respecting your wish to stop, which also helps us comply with PECR. |
You do not have to give us any personal information to read this website. If you use the contact form, name, email address, topic and message are required, because we cannot reply without them. If you join the waiting list, your email address and the ticked box are required, because we cannot email you without them. Joining is optional, and nothing else on the site depends on it. Asking for the newsletter is optional too.
Please do not put health information or other sensitive personal information in your message. We do not need it to answer an enquiry and our tools are not set up for it. If you send some by mistake, tell us and we will delete it.
We do not use contact form details for marketing unless you tick the newsletter box. As a result of using this website we send two kinds of marketing email, and only to people who ticked the box for it: the launch email you ask for by joining a waiting list (for the product you chose), and our newsletter if you ask for it. The two boxes are separate. Ticking one does not sign you up to the other, and we will not add you to the newsletter because you joined a waiting list or sent us a message. A launch email or newsletter is promotional, so we treat it as marketing. We do not sell your information or share it with advertisers. We do not use it to make automated decisions about you or to build a profile of you. We do not use tracking pixels or link tracking in our emails, so we do not know whether you opened one.
4. Who we share your information with
We use a small number of service providers to run the website. They act on our instructions under written data protection terms, and they may only use your information to provide their service to us.
| Type of provider | What it does for us | Where it is based |
|---|---|---|
| Our website host | Hosts the website and creates the technical records in section 3. | United States company, with servers in a number of countries |
| Our email delivery provider | Delivers the contact form message and the waiting list sign-up to our inbox (a "transactional email" service). It may also deliver our launch email and newsletter to you. | United States company |
| Our email and office software provider | Provides our email inbox at hello@geockointelligence.com, where your message or waiting list sign-up arrives and is stored. | United States company, with data centres in a number of countries |
Our website host also keeps some data about its own service for its own purposes, for example to bill us and secure its network. For that data it is a separate controller and has its own privacy notice.
We do not list the providers by name here, so that this notice stays accurate if we change supplier. If you want to know who they are, email us at the address in section 1 and we will tell you their names.
We may also share your information if the law requires it, for example if a court or regulator orders us to, or to protect our legal rights. We would then share only what is needed.
5. Sending your information outside the UK
Our website host, our email delivery provider and our email and office software provider are United States companies, or part of United States groups, and may process data outside the UK. UK law lets us do this only with safeguards in place. These are the safeguards each provider states it uses:
- Email delivery provider: its data processing terms say transfers from the UK are made under the UK addendum to the standard contractual clauses (the UK-approved contract terms), and that it complies with the EU-US Data Privacy Framework and the UK Extension to it. The UK Extension is the basis for the UK-US data bridge, the UK government's decision that certified US organisations can receive UK personal data.
- Website host: its data processing terms (version dated 17 March 2026) say transfers from the UK are covered by the standard contractual clauses and the UK international data transfer addendum.
- Email and office software provider: it processes our email under its data processing terms for its business email service, which we have accepted as a customer and which contain the transfer safeguards UK law requires.
You can ask us for more detail on these safeguards, and for the names of the providers, using the email address in section 1.
6. How long we keep your information
| What | How long |
|---|---|
| Contact form messages and our replies | 12 months after the last message in the conversation, then we delete them. |
| Messages that are spam or junk | Deleted within 30 days. |
| Waiting list sign-up (your email address and the record of your tick) | Until 30 days after we send the launch emails for the product you chose (we will send the launch announcement and no more than two follow-up reminders about that launch), or 12 months after you joined if the product has not launched by then, whichever is sooner. We then delete it. If you unsubscribe sooner, we delete it sooner (see below). This period is our own choice and is kept short on purpose. |
| Newsletter sign-up (your email address and the record of your tick) | Until you unsubscribe. We review the newsletter list at least every two years and delete addresses we no longer have a good reason to keep. This is our own rule. If you unsubscribe, we delete the sign-up record straight away. |
| Your email address on our "do not email" note, if you unsubscribe | Kept for as long as is needed to make sure we do not email you again. It holds your email address only. |
| Records of an enquiry that leads to a contract with us | For as long as the contract runs and then normally up to six years, so we can deal with any legal claim. |
| Hosting records (IP address, page requests and so on) | A short period set by our website host's service plan. We do not export or archive these records. |
| IP address used to block spam | No more than 24 hours. |
| Delivery record held by our email delivery provider (including contact form and waiting list sign-up emails) | A limited period set by that provider's service, currently 30 days on its standard plans, used only to confirm that the message was delivered. |
We may keep a record that you asked us to stop contacting you, so we can respect your request.
Leaving the waiting list or the newsletter
You can leave at any time and it is as easy as joining. Either reply to any email from us with the word "unsubscribe", use the unsubscribe link in any email we send you, or email hello@geockointelligence.com from the address you used. We will remove you straight away and no later than 7 days after we receive your request (ESTIMATE, our own commitment; the law requires us to stop without undue delay), and we will not email you again about the launch or the newsletter. If you are on both, tell us whether you want to leave one or both; if you do not say, we will treat "unsubscribe" as leaving both. Withdrawing your consent does not affect anything we did with it before.
7. Your rights
Under UK data protection law you have the right to:
- ask for a copy of the personal information we hold about you;
- ask us to correct information that is wrong or incomplete;
- ask us to delete your information;
- ask us to restrict how we use it;
- object to our use of it where we rely on legitimate interests;
- object at any time to us using your information for direct marketing, which we must then stop;
- withdraw your consent at any time, where we rely on it (for the waiting list and the newsletter, see "Leaving the waiting list or the newsletter" in section 6);
- ask for the information you gave us in a portable format, where it applies.
These rights are not absolute, and some depend on the legal basis we use. To use any of them, email hello@geockointelligence.com. We will reply within one month. We will not charge a fee unless a request is clearly unfounded or excessive. We may ask you to prove who you are before we release information.
8. Complaints
If you are unhappy with how we have used your information, please tell us first at hello@geockointelligence.com. You can make a complaint in any way that suits you, including by email, post or any message you send us. We will acknowledge it within 30 days (we aim to do so much sooner), look into it without delay and tell you the outcome.
You also have the right to complain to the Information Commissioner's Office at any time, whether or not you have complained to us first: ico.org.uk/make-a-complaint
9. Cookies and tracking
This website does not use cookies, analytics or advertising trackers, and it does not store information on your device for tracking. Our Cookie policy explains this in more detail. We will update this notice before we add any analytics or tracking.
10. Children
This website is for adults and businesses. It is not aimed at children, and we do not knowingly collect information from children through it. The waiting lists and the newsletter are for people aged 18 or over. If you think a child has joined a waiting list or the newsletter, tell us and we will delete the entry.
11. Security
We use reputable providers, encrypted connections (HTTPS) and limit who can read the inbox where your messages arrive. No system is perfectly secure, and if a breach put your rights at risk we would tell you and the ICO as the law requires.
12. Changes to this notice
We will update this notice if how we use your information changes, and we will change the date at the top. We will not use your information for a new purpose without telling you first.
